Useful Information for Booking Your Private Event

All events have use of the premises, including the venue, designated grounds surrounding the venue, and the on-site hot holding kitchen facility for the caterer located within the venue.

• Access to the venue for six hours unless otherwise agreed upon between Catawba Falls and the client*.

• A full-service caterer is required. The caterer has access to our warming kitchen, which includes ample prepping space, a 3-bay sink, commercial refrigeration, a commercial coffee maker, and a chest freezer for ice storage. Food preparation is not allowed in the kitchen. Caterers listed on our preferred vendor list have proven to provide excellent service and food to our clients and fall within all price points.

• A certified and insured bartender is required for all alcohol services. For the integrity of your event, we do not allow shots, shot-gunning of beer, or drinking games onsite. All liquors require a mixer. Only the client or full-service bartending is permitted to bring alcohol on-site for service by the bartender.

• No self-service of alcohol is allowed on the property. The maximum number of hours a bar may serve alcohol is four consecutive hours.

• An off-duty police officer must be on site while the bar is open. Catawba Falls will make arrangements for this for you through the Lancaster County Sheriff’s Department. An off-duty officer typically costs about $200 for four hours.

• Catawba Falls Events works with a customer relation management program called 17hats that allows for electronic contract signatures. Our client portal will give you access to documents and invoices when needed. Our client portal also allows the option to pay your invoice by debit or credit card. A convenience fee is added for processing charges.

• In addition to the venue rental, there is a $500 refundable* damage deposit.

• Catawba Falls provides basic set up and tear down of tables and chairs owned by Catawba Falls. We do not offer planning or coordination services; however, we are happy to refer you for services.

• A Catawba Falls employee will be on-site for maintenance and building needs throughout your event.

• The selling of tickets or cash bars is prohibited unless you are a nonprofit organization with a 501(c)(3).

• Most private events are limited to 100 guests*.

• To secure a date for your event, contact Catawba Falls by email or phone. Private Events during our peak wedding seasons are confirmed 60-75 days before your preferred event date to save you money. Events booked in advance and during peak wedding season are available for the same price as a wedding day.

• Private event client and vendor requirements mirror our wedding requirements.

  • The client must obtain liability insurance (Event Insurance) and Host Liquor Liability Insurance for the event day for $1,000,000 (industry standard). An insurance increase to $2,000,000 is required if any liquor is served.  Insurance must be on file with Catawba Falls 30 days before your event, and you must name Catawba Falls Event Center, Inc. as an additional insured.  This insurance must be purchased through a company called Nuptial.  Nuptial will contact our clients and walk you through this easy process. The cost of insurance will be approximately $250 to $280.

  • All vendors will be required to sign an agreement regarding Catawba Falls policies and provide a certificate of liability insurance with Catawba Falls listed as additional insured.

  • Any vendors that are not insured will also have to purchase Vendor Insurance for the day of the event.  Vendor proof of insurance must be on file with Catawba Falls 30 days before your event date to proceed.    

  • Agreement letters will be provided to the client to have signed by your caterer, photographer, planner/ month-of coordinator, DJ, and bartender for Catawba Falls Events.
